The challenge

As an ambitious startup building analytics infrastructure and tools aimed at developers and data teams, Embeddable needed to build a top-notch team without geographical limitations in their search for talent. That’s why their hybrid-remote team is currently distributed across nine countries. “Our intention has always been to find the best people regardless of where they’re located,” says Vilte Dewar, Business Operations Manager at Embeddable.

However, onboarding global talent outside of their hubs in the U.K. and Germany proved to be challenging. They worked with various EOR providers, but found that the service quality was unsatisfactory. When hiring in new countries, Vilte’s team couldn’t get trustworthy information or guidance on local compliance and hiring, and didn’t feel confident in their EOR partner. For their new team members, the excitement of joining the team was marred by a poor onboarding experience.

“Before Oyster, we tried a few other EORs, including Deel and Omnipresent, but we didn’t have a great experience. With previous EOR solutions, we didn’t have clear guidance when hiring in new territories that were unfamiliar to us. We were left in the unknown. We weren’t guided through the process confidently, which affected the onboarding experience negatively for the team members joining us.”

Another challenge with previous EORs was dealing with software issues and slow customer support.

“With previous EOR providers that we used, the software platforms were not reliable and lacked automations. One provider had a very basic platform so we had to rely on customer support, which was very slow. Another EOR provider had a better platform, but there were lots of errors, so we couldn’t rely on what we saw on the platform to be correct—so we had to contact support, which was also very slow.”

These were some of the challenges Embeddable needed to overcome in order to scale confidently as a globally distributed, hybrid-remote company.

The solution

After trying various options, Embeddable eventually chose Oyster as their global employment partner in March 2022 because they were impressed by the fast and seamless onboarding of new hires.

“We selected Oyster after a thorough process of testing out several different EOR providers. What made Oyster stand out was the excellent onboarding experience for new team members. When we tested out Oyster, we had very positive feedback from our team members saying they had a really smooth experience joining the team.”

To ensure a better employee experience and avoid having to manage multiple providers, Embeddable transitioned their team to Oyster and found that the EOR migration process was seamless as well. “We had a very smooth experience transferring our employees from our previous EOR provider to Oyster,” says Vilte.

In addition to the high service quality, Vilte appreciates being able to rely on the Oyster team’s knowledge and expertise when it comes to employing talent in new countries.

“We’ve had a really positive experience working with the team at Oyster. Whenever we need advice exploring new territories or weighing up the cost of hiring in new locations, the Oyster team provides very clear guidance and information on what we need to be aware of.”

For their day-to-day HR admin, Vilte’s team is able to work efficiently thanks to Oyster’s automated, easy-to-use platform, whether it’s managing invoices, making contract changes, or tracking the onboarding process of a new hire. If they do need to reach out to support, they’re able to count on prompt communication and reliable customer support.

“The Oyster platform is very user-friendly and most of the steps are automated. Nine times out of 10, we’re able to find everything we need on the platform. If not, we can always reach out to support and someone is assigned to our case very promptly to help with any questions we might have.”

From the team member perspective, too, Vilte is happy to report an excellent employee experience. “Our team members definitely feel like they’re taken care of. Whenever they need any support or information from Oyster, it’s always there. They’ve always complimented great communication from the Oyster side,” she says.

Even when Embeddable had to let go of a team member, Vilte appreciates that the offboarding was handled with care, with clear communication, guidance, and legal support from Oyster to make sure the process was compliant and well managed. “Even when it comes to the unfortunate end of an employment relationship, Oyster will definitely support you from the start to finish,” she says.

The results

“Thanks to Oyster, we’ve been able to hire the best people wherever we find them and grow our business without geographical limitations. We’ve used Oyster to onboard 10 team members in countries like Germany, Finland, Portugal, France, Austria, and Ireland. Oyster enables us to onboard team members quickly and seamlessly, with good information and guidance throughout.”

When hiring in so many countries, Vilte says the most important benefit of using Oyster is having access to trustworthy knowledge and guidance so that her team has peace of mind regarding compliance when expanding internationally.

“Hiring globally in unfamiliar locations can be a scary process full of unknowns. You don’t know what to expect. With Oyster, you can rely on them to provide all the relevant information, guide you through the process, and warn you if there’s anything you need to be aware of. Ideally, that’s what you want from an EOR provider. But in our experience, not every EOR provider is as reliable and knowledgeable as Oyster.”

Having gone through the lengthy and bureaucratic process of setting up a subsidiary in Germany, Vilte says the most important business impact of using Oyster is the hundreds of thousands of dollars saved by not having to set up legal entities in multiple countries.

“Oyster enables us to hire talent compliantly without the need to set up subsidiaries. It’s a massive cost saving to be able to hire the best talent internationally without having to go through the expense and legal hurdles of setting up entities in every location.”

Just how great is the cost saving? When asked to put a number on it, Vilte says, “It’s almost impossible to quantify the business impact of using Oyster because if we had to set up subsidiaries in every country where we employ team members, it would be such a massive cost to the business that we’d just burn holes in our pockets. It would be too costly to be feasible.”

From a People Ops perspective, Oyster enables Embeddable to offer a strong employee value proposition thanks to the fast and seamless onboarding, quick resolution of any issues that arise, and the close partnership between the two companies.

The future with Oyster
